FERPA Compliance
TeachSimEHR is designed to support educational institutions in maintaining compliance with the Family Educational Rights and Privacy Act (FERPA). We understand the importance of protecting student education records and have implemented practices aligned with FERPA requirements.
Our FERPA Commitments:
- School Official Exception: We function as a "school official" with a legitimate educational interest when providing services under a contract with educational institutions.
- Direct Control: Educational institutions maintain direct control over the use and maintenance of education records within our platform.
- Limited Use: We use student data solely for the educational purposes for which it was provided and do not use it for any other purpose.
- No Re-disclosure: We do not disclose personally identifiable information from education records to third parties without proper authorization.
- Data Security: We implement appropriate security measures to protect student education records.
For Institutions: We are prepared to enter into Data Processing Agreements (DPAs) and comply with institutional requirements for FERPA compliance. Contact us to discuss your institution's specific needs.
Information We Collect
Information You Provide:
- Account Information: Name, email address, institution name, and role (for instructors)
- Student Session Data: Student names as entered during class sessions
- Demo Requests: Name, email, institution, phone number, and messages submitted through our contact forms
- Case Data: Patient simulation cases created by instructors
Information Collected Automatically:
- Usage Data: Session activity, quiz responses, and interaction with simulation features
- Device Information: Browser type, operating system, and general location (country/region)
- Log Data: Access times, pages viewed, and referring URLs
How We Use Your Information
We use the information we collect to:
- Provide, maintain, and improve our educational simulation platform
- Enable instructors to monitor student progress and activity during sessions
- Generate analytics and reports for educational assessment purposes
- Respond to inquiries and provide customer support

We do NOT: Sell, rent, or trade personal information to third parties for marketing purposes. Student data is never used for advertising or shared with data brokers.

Data Retention
We retain data according to the following practices:
- Session Data: Student session data is temporary and associated with active class sessions. Instructors can clear session data at any time.
- Account Data: Instructor account information is retained while the account is active.
- Case Data: Simulation cases created by instructors are retained until deleted by the instructor or upon account termination.
Upon request, we will delete all personal data associated with an account within 30 days, except where retention is required by law.
Third-Party Services
We use the following third-party services to operate our platform:
- Google Firebase: For authentication, database, and hosting services
- OpenAI/Anthropic: For AI-powered quiz generation (no student personally identifiable information is sent to these services)
These service providers are bound by their own privacy policies and data protection obligations.

Children's Privacy
